How to Redact a W-2 (SSN, Wages, and EIN) Before Sharing It

A W-2 is one of the most sensitive documents you will ever hand over. It contains your full Social Security number, your complete wage and withholding history, your address, and your employer's EIN -- everything an identity thief needs and most recipients don't.

Whether you are applying for a mortgage, a car loan, an apartment, or a financial aid package, you will be asked for a W-2. This guide covers what to redact before sharing it, what your tax preparer genuinely needs, and how to do the redaction so the data is actually gone.

What's on a W-2 (and Who Needs It)

Every W-2 contains:

Different recipients have different legitimate needs. A mortgage lender verifies income with the wage boxes. A tax preparer needs everything, including the full SSN, to file your return. Your landlord needs proof of income, not your employer's tax identifier.

What to Redact

  1. Your full Social Security number. For non-tax purposes, leave only the last four digits if the recipient needs partial verification. If they ask why, that is a fair question -- most verifications work fine with the last four.
  2. Your employer's EIN. Redact it unless the recipient explicitly requires it.
  3. Your address, if the application already collects it.
  4. State and local tax figures that the recipient won't use.

What not to redact: the wage, tip, and withholding boxes. Those are the entire point of the request.

Who Genuinely Needs the Full SSN

Everyone else -- mortgage lenders, landlords, insurers, loan officers -- can verify what they need with redacted documentation in most cases. If a lender insists on the full SSN, ask what specific verification requires it; many will accept the last four digits plus a credit pull.

How to Redact a W-2 PDF (Step by Step)

  1. Open the W-2 in the LanaPDF editor at lana-pdf.com. The file is processed locally in your browser -- it is never uploaded to a server.
  2. Use the Redaction tool, not the rectangle or drawing tools. Black boxes leave the digits recoverable underneath.
  3. Cover the fields you identified above: the SSN (or all but the last four), EIN, address, and unused state figures.
  4. Save the file. LanaPDF removes the covered text from the file itself.
  5. Flatten the document with the repair tool's Deep mode so no hidden text layer can survive.
  6. Export and send.

The full mechanics -- including why covering text with a box does not work -- are in why redacted text is still in your PDF and how to redact a bank statement.

Verify Before You Send

  1. Open the exported file and press Ctrl+F / Cmd+F. Search for a fragment of the SSN. Nothing should be found.
  2. Select all and copy into a text editor. No hidden numbers should appear.
  3. Print preview at 100% -- nothing should bleed through the redacted areas.

If the W-2 you received is a scan with an invisible text layer, run OCR first so the redaction removes real text, then flatten. For tax-season identity protection, see is it safe to upload tax documents online.

Conclusion

Redacting a W-2 before sharing it is fast, and it removes the most valuable identity data from the file. Keep the full SSN for your tax preparer; redact it everywhere else. Done properly -- text removed, document flattened -- a shared W-2 is useful to the recipient and safe to lose.
